General Information
Clubs wishing to participate in the main District event which will be held at Paultons Park, Ower, need to register with their AREA Co-ordinator not later than 30th April 2010 so that we can organise tickets, lunches, etc. in good time. Please identify your Clubs Area Co-ordinator from the contact details below. With the submission of the Registration Form (A) you confirm :-
• That your Club wishes to participate
• The name of the School(s) attending.
• How many Children, School staff and Rotarians will be attending in your Club group, please be as accurate as possible.
• How many packed lunches are required by your group
• How many Kidsout Day certificates required (1 per child) and car sticker logos (2 per vehicle) supplied without charge.

When sending the Registration Form to your Area Co-ordinator please enclose a cheque for the £275 club contribution (made out to ‘District 1110 Trust Account' ) to arrive not later than 30th April. Each child taking part and if possible the adult helpers should be supplied with T shirts and baseball caps if they do not already have them from a previous year. Please read Information Letter (B) detailing the arrangements for Kids Out Day. Also this year the arrangements for supply of lunches has changed so please click here to read the relevant information.
Control Forms: To ensure we comply with current legislation and meet RIBI insurance requirements, the following ‘Control Forms' are to be used by all participating clubs. Pleae download here as required using the links below:-

| C.3 Details of Children, teachers, staff from Schools. |

It is important that on the day of the event the Club organiser brings copies of Control Forms C.1 and C2 to the Rotary ‘Kids Out' Control Point adjacent to the Entrance BEFORE the Club group enters the Park. Please ensure the forms contain mobile phone contact numbers for both Teachers and Rotarians AND THAT THEY LEAVE THEIR MOBILE PHONES SWITCHED ON WHILE IN THE PARK. It is recommended that on the day of the even Club organisers hold a completed copy of the forms relevant to their group.

Risk assessment / Child Protection : Paultons has been visited and their current policy / assessments have been checked. Should schools require details of Paultons Health and Safety Policy etc., this can be downloaded from their website by clicking here Clubs are also asked to undertake their own risk assessment using the guidelines issued by District.
RIBI's Protection Policy will be known by each club's Protection Officer (CPO). Please note that for a club to be covered by RIBI's Insurance Policy for such events as Kids Out, they must have adopted the model RIBI Protection Policy. Please confirm this on your Registration Form . |

The CPO may consider it prudent to retain a permanent record of the arrangements made by the club for Kids Out Day, including a copy of Control Forms C.1 and C.2. but Control Form C.3 should be destroyed following the event.
Publicity
In the past it has been difficult for Rotary to obtain publicity from this event due to restrictions on photographing children. Most children would love to see their photos in the paper or on local television therefore please discuss this issue with the school(s) taking part. We hope that parents/guardians will support our desire to show to a wider world how less fortunate children can be given the chance to enjoy a day out with Rotary. Please help us by advising your Area Coordinator if the children in your school party can be photographed.
In 2009, some 1,486 special needs Children were treated to this wonderful day out and together with Teachers, Carers and assisting Rotarians the District Party totalled more than 2,500. We intend to provide the same level of committment to this special National Day again in 2010 and would welcome the participation of clubs in the District who have not been involved recently.
